Lead with what works, then give one clear, doable fix.

“I'd like 15 minutes to talk about the handoff. Does 2:00 work?”

Naming the topic and the time removes the dread before it starts.

“It's fine, don't worry about it.”

“I noticed the last two reports came in late. What's getting in the way?”

Naming the pattern and asking a question opens a real conversation.

“This isn't what I asked for.”

“I don't think I was clear. What I need is a one-pager, not a full deck.”

Owning your part of the miss keeps the fix about the work.

“Some people have been saying…”

“I noticed you cut Alex off twice today. I'd want to know if it were me.”

Speaking for yourself is fairer and more credible than hearsay.

“Your meetings are kind of all over the place.”

“Could we share an agenda before our weekly meeting? I'd come better prepared.”

Framing it as a request makes upward feedback easy to accept.

“You're always so negative.”

“When ideas get shut down fast, people stop sharing. Can we hear them out first?”

Describing the impact, not their character, keeps defenses down.

“So… we're good, right?”
