How to give specific praise at work

Short answer: say “The way you handled the client's question was clear and calm.”

DON'T SAY
“Good job!”
SAY THIS
“The way you handled the client's question was clear and calm.”
Specific praise tells people exactly what to repeat.

When to use it

Use it whenever someone does something you want to see again. Name the specific action and what was good about it. Specific praise is more believable than “good job” and tells the person exactly what to keep doing.

Example

You: “The way you handled the client's question was clear and calm.”

Teammate: “Thanks, I was nervous about that one.”

In an email or Slack message

In Slack, make it public when appropriate: “Shout-out to Maya: the way she handled the client's pricing question today was clear and calm.” Public, specific praise reaches the whole team.
